CRM for solicitors
and a law firm

A system where every deadline has an owner and a reminder, client contracts do not expire unnoticed, and incoming letters get a resolution and a due date. The document workflow it stands on is already deployed in a public institution; the matter card and time tracking we build in the project for your practice — and we say honestly which is which.

When a practice
outgrows calendar and email

While there are two lawyers, deadlines live in people's heads and phone calendars. As the practice grows, one missed date costs more than any system.

Deadlines in personal calendars
Procedural deadlines, hearings and client due dates sit in each lawyer's phone. Someone falls ill or goes on holiday, and only their calendar knows about the deadline.
Documents in email and messengers
The latest version of a claim is in a thread, the power of attorney on a desktop, the scan of a judgment in a chat. A new lawyer spends hours looking.
"How is my matter going?"
The client rings for a status update and every time somebody has to stop work, dig through the correspondence and answer.
Client contracts with no oversight
Term, renewal, staged payments — nobody thinks about a contract until it has already expired.
Hours are not counted
Billable work is estimated at month end, and part of what was done never reaches the invoice.
Management cannot see the picture
Who is loaded with what, what is overdue, which clients bring in revenue — no reporting until somebody builds it by hand.

From the enquiry
to the archive

01
Client card
Contacts, documents and files, calls, payments and the whole history of work with the client. Selected documents can be opened to the client in their portal. Duplicates are caught by phone number, or by name and date of birth.
02
Deadlines and a daily digest
Every assignment has an owner and a due date. Once a day each person receives a digest by Telegram or email: what is coming due and what is already overdue. If nothing is urgent, no message arrives.
03
Contract register
Contracts with a number, amount, term and amendments. The system warns in advance, and for auto-renewing contracts it reminds you to object in time. Contract types and the link to the client card are configured for your practice.
04
Incoming and outgoing correspondence
Registers with numbers and dates, resolutions with an owner and a deadline, scanned copies, a correspondent card holding all the exchange, and printable yearly registers.
05
Assignments and @mentions
A resolution on a letter with an owner and a deadline, an @mention of a colleague with an instant notification, and a "Mine" view — everything waiting on you, including from a phone.
06
Documents from templates
A template builder: contract, power of attorney, application — the client's name, address, tax ID and identity details fill themselves in, with print and PDF. Invoices and acts come from the till. Your practice's templates are configured at the start.
07
Matters and hearings
A matter linked to the client: court or authority, number, hearings, responsible lawyers, documents. Built in the project for your practice — on the existing deadline and document modules.
08
Time tracking and invoices
A lawyer records time against a matter and the system collects the hours into a client invoice at your rates. Time tracking is part of the project; the till and payments already work.

Working with a client —
from enquiry to archive

This is how work with a client runs once the system is configured for the practice.

Step 01
The enquiry
The client books a consultation on the site or by phone — the client card is created immediately, with no duplicate.
Step 02
The contract
The contract is registered with its amount and term, and the files sit in the card. The system remembers when to renew it.
Step 03
The work
Incoming letters get a resolution and a deadline, documents are assembled from templates, and colleagues are pulled in with an @mention.
Step 04
Deadlines
Every morning each person sees what is coming due; anything overdue is visible to management with no separate report.
Step 05
Invoice and archive
Payment goes through the till and the act comes from a template. Closed material goes to the archive with its retention period.

What already works,
and what we build for a practice

Document workflow, deadlines, contracts and correspondence are already built and running in the document workflow of a state hospital — for a practice we change the naming and the catalogues. The matter card and time tracking are completed in the project, and they are inside the quoted price and timeline.

Already working in the system
  • Client card with history, files, calls and duplicate control
  • Contract register: term, amendments, auto-renewal and advance warnings
  • Incoming and outgoing correspondence with resolutions, deadlines and printable registers
  • A daily deadline digest by Telegram or email, @mentions of colleagues
  • Archive by file index with retention periods
  • Online consultation booking and SMS and Telegram reminders
  • Document builder with client data, till, invoices and acts with PDF
  • Roles, permissions and an action log for every user
Configured in your project
  • Matter card: court or authority, number, parties, hearings, responsible lawyers
  • A calendar of hearings and procedural deadlines by matter
  • Time tracking by matter and a client invoice at lawyers' rates
  • The contract inside the client card, contract types and your practice's document templates
  • Naming and catalogues for a practice instead of hospital ones: "client", "lawyer", "matter"
  • Migration of the client and matter base from spreadsheets or old software

A chatbot for a law firm:
first enquiries without legal advice

Someone writes in the evening: "how much is a consultation", "what should I bring", "do you handle divorce?". An AI assistant answers the practical questions from your own material and books a consultation, leaving the assessment of the matter to a lawyer.

Price and format
The cost of a first consultation, online or in the office, which documents to bring — from your own material, with nothing invented.
Booking a consultation
Offers free slots in a lawyer's calendar or gives a link to online booking. The substance of the enquiry lands in the client card.
Screening enquiries
Clarifies the category of matter, so the lawyer knows in advance what is coming and does not spend a consultation on something outside the practice.
No legal advice at all
It does not assess the merits or say what to do: to a substantive question it answers that a lawyer will go through it at the consultation. It does not collect details of the matter in chat.

Built as a separate project: an AI agent for first enquiries — from $900, 14–25 days. If clients mostly phone, a voice agent from $3,000. Model usage is billed separately, by volume of conversations.

Off-the-shelf legal CRM
or your own system

A sole practitioner or a small practice will be well served by a subscription service, and we will say so. Your own system is needed once there are more lawyers, your own internal rules and correspondence, or the client base has to stay with the firm.

A pilot for the first practices. We are looking for one or two law firms to build the matter card and time tracking with, on real work. You get special terms, we get a reference and permission to show the result. We will name the terms on the first call.

What the system
does not do

Better to hear "no" now than in week three.

It does not file documents with a court: there is no integration with national court e-filing systems.
It does not apply a qualified electronic signature — that stays a separate integration.
It does not search case law or pull judgments from public registers by itself.
It does not do bookkeeping: tax accounting stays with your accountant, the system gives them the reports.
It does not send clients matter updates by itself — client notifications are configured in the project.
It does not appear in an evening: the matter card and time tracking are several weeks of custom work.

What people
ask most

How is this different from off-the-shelf legal CRMs? +
A ready service gives a standard set of features for a subscription, and for a small practice that is enough. Your own system is needed once there are more lawyers, your own internal rules, correspondence and document templates, or the client base has to belong to the firm. Then we build the system around your practice on a ready foundation of deadlines, contracts and document workflow.
Will there be matter and hearing tracking? +
Yes, but honestly: the matter card with hearings does not exist in the system yet — we build it in the project for your practice. The deadlines, assignments, documents and correspondence it stands on already work.
How does the system remind us about deadlines? +
Every assignment has an owner and a due date. Once a day each person gets a digest by Telegram or email: what is due in the next few days and what is already overdue. If nothing is urgent, no message arrives — so the important things do not drown in noise. An @mention from a colleague arrives immediately.
How is client data protected? +
Each user sees only what their role allows, and actions are written to a log: who changed what and when. The base belongs to the firm, backups are included in the package, and the system can be moved to your own server under licence.
Can we bill by the hour? +
Yes: time tracking by matter and a client invoice at lawyers' rates are part of the project. The till, payments and acts from templates already work, so the invoice immediately becomes a document.
How long does launch take? +
The core part — clients, contracts, correspondence, deadlines, documents — from 45 days. The matter card and time tracking add a few weeks. We name the exact timeline after a conversation about your practice.
What happens to the data if we want to leave? +
You get your base of clients, contracts and documents in full. If you want, the system can be moved to your own server under licence.
