CRM · Beauty salons

CRM for a
beauty salon

Clients book with their own stylist at half past ten at night, get a reminder a day before, and are asked to rate the stylist afterwards. Stylists see their schedule and their commission, the receptionist sees the free slots, the owner sees revenue and workload. For salons, barbershops, aesthetic clinics, nail bars, massage and spa.

Where a salon
loses money

Not on advertising, but on empty slots, forgotten bookings and stylists who leave taking the client list with them.

Booking through DMs and messengers
The receptionist answers on Instagram, WhatsApp and the phone at once, and in the evening there is nobody to book with — which is exactly when clients write.
Gaps in the middle of the day
Cancellations and no-shows become visible when the stylist is already sitting idle, with nobody to fill the time.
The client list in a stylist's phone
The stylist leaves and the clients leave with them, because the contacts and the history were only ever theirs.
Commission worked out in a notebook
Stylist pay is reconciled by hand at month end, and every error becomes a conflict.
Product "walks off"
Materials are written off by eye, balances do not match, and nobody counts retail sales of home care.
Memberships and gift cards on paper
How many visits are left and whether a gift card is still valid is checked in a notebook or from memory.

From the booking
to the return visit

01
Online booking with a stylist
Clients pick the service, the stylist and a free slot themselves — on your site or through a link from Instagram. The rules are configurable: non-working days, minimum notice, approval.
02
Stylist schedules
Every stylist in one calendar, each with their own hours and services. Holidays and sick leave block the time automatically.
03
Reminders and reviews
SMS or Telegram 24 and 2 hours before the visit, and a request to rate the stylist afterwards. Poor ratings are visible the same day.
04
Client card
Visits, stylists, services, purchases and notes — in the salon, not in a stylist's phone. Duplicates are caught automatically.
05
Memberships and gift cards
Prepaid memberships with a counter per service and an expiry date, gift cards, a digital discount card, promo codes.
06
Stylist commission
Calculated from services performed under your own rules — with no manual spreadsheets at month end.
07
Product stock
Materials and products are written off against a specific visit, retail sales go through the till, and balances are visible per room.
08
Till and reports
Payment at the system's till, daily cash-up, revenue by stylist and by service, client sources.

One visit —
from booking to review

This is how an ordinary visit runs once the system is configured for a salon.

Step 01
Booking
Clients book on the site or through a link from Instagram, with their own stylist. The receptionist sees the booking immediately.
Step 02
Reminder
A day before and two hours before, a reminder. If they cannot make it, they reschedule in the portal and the slot returns to the schedule.
Step 03
The visit
The stylist sees the history of previous visits, and the materials used are written off against this one.
Step 04
Payment
Payment at the till — with a card discount, a promo code, a gift card or from a membership; the stylist's commission is credited.
Step 05
Review
After the visit, a request to rate the stylist. A poor rating is visible the same day, while the situation can still be fixed.

What already works,
and what we configure

Booking, reminders, memberships, stock and the till run every day in organisations where clients book with specific practitioners. For a salon we configure the naming, the services and the rules.

Already working in the system
  • Online booking with a stylist, with rules and approval
  • Stylist schedules, holidays block the time
  • SMS and Telegram reminders, notifications to the receptionist
  • Client card with history and duplicate control
  • Memberships with a counter and expiry, gift cards, discount card, promo codes
  • Stylist commission from services performed
  • Stock with materials written off against a visit, retail at the till
  • Reviews after the visit, roles and permissions
Configured in your project
  • Naming for a salon: "client", "stylist", "visit" instead of medical terms
  • Your services, durations, prices and stylists — from a spreadsheet or old software
  • A booking widget in your salon's style on your own site
  • SMS sent under the salon's name, your own Telegram bot
  • Migration of the client base and future bookings
  • An online shop for home care on the same stock — if you want one

A chatbot for a salon —
an AI receptionist for evenings and weekends

Most messages arrive in the evening, once the receptionist has gone home. An AI receptionist answers immediately — from your prices, services and rules, not from the model's imagination — and takes the person through to a booking.

Answers in every channel
How much a manicure with gel costs, how long colouring takes, whether they can bring a child — the same answers everywhere, even at half past ten at night.
Books with a stylist
Sees the free slots in the schedule and offers a time, or sends a link to online booking with the right stylist. The booking lands in the same schedule as one from the site.
Hands over to the receptionist
Complaints, complex colouring "like in the photo" and anything that needs a person go to the receptionist with a short summary of the conversation.
Promises nothing it should not
Discounts, gifts and "a slot today outside the schedule" only after you confirm. What the agent may promise we write down together with you.

A separate project on top of the system: a text AI agent from $900, launch in 14–25 days. If most bookings come by phone, a voice agent from $3,000. Model usage is billed separately and depends on the volume of conversations.

An off-the-shelf salon service
or your own system

For a single stylist with no receptionist, or a two-chair salon, an off-the-shelf booking service is a sensible choice, and we will say so. Your own system earns its place in a salon or a chain with many stylists, retail sales and its own pay rules.

A pilot for the first salons. We are looking for two or three salons or barbershops to launch the system with, on a real schedule. You get special terms, we get a reference and permission to show the result. We will name the terms on the first call.

What the system
does not do

Better to hear "no" now than in week three.

It does not run your Instagram or publish posts — it only takes bookings from a link there.
It does not take an online deposit for a booking out of the box — we connect a provider separately if you need one.
It does not print fiscal receipts: cash-register compliance is a separate integration under the rules of your country.
It does not send bulk marketing messages without the clients' consent.
It does not stop a stylist leaving, but the client base stays with the salon.
It does not launch in an evening: configuring it for a salon takes several weeks.

What people
ask most

How is this better than the popular salon booking services? +
For a single stylist with no receptionist, it is not, and we will say so. The difference appears in a salon or a chain: the base belongs to you, booking sits on your own site in your own style, and memberships, stock, stylist commission and retail all work in one system.
Does it suit a barbershop, nail bar, massage or spa? +
Yes. The logic is the same: booking with a specific practitioner and room, reminders, memberships, commission, materials. Only the naming and the services differ, and we configure those for you.
Can people book from Instagram? +
Yes: the link to the booking page goes in the profile, in stories and in DM replies. Wherever the booking comes from, it lands in the same schedule. If you only have Instagram today and are unsure whether you need a website at all, we went through that honestly in do I need a website if I have Instagram.
How is stylist commission calculated? +
Under your own rules, from services performed: a percentage, a fixed amount, or a mix. The payout is visible immediately rather than at month end.
What happens to the client base if a stylist leaves? +
It stays with the salon: client history and bookings live in the system, not in a stylist's phone. A departing employee's access is switched off in one click.
What do the reminders cost? +
SMS is billed separately at your messaging provider's rate; Telegram reminders are free.
How long does launch take? +
From 45 days: configuring the services and stylists, migrating the client base and training the team. We name the exact timeline after a conversation.
