CRM for an
auto repair shop

A system where booking for repairs and servicing happens without phone calls, every vehicle has a history by registration and VIN, and a work order pulls together labour and parts from stock. Mechanics see their own orders; the owner sees revenue and workload. The foundation already runs daily in other sectors — the garage specifics we build on top, and we say honestly which is which.

When a workshop
outgrows the notebook

With two bays and one service adviser everything fits in somebody's head. After that the losses start, and nobody counts them.

Bookings by phone and on scraps of paper
The adviser is in the bay with a customer and the phone rings into the void. Booking in the evening is impossible, and the tyre season turns into a queue at the gate.
No vehicle history
What was changed last time, which parts went in, what the customer declined — nobody remembers. A warranty claim turns into an argument.
Parts tracked from memory
How many filters are left, what was ordered for a specific car, what was written off without an order — visible only at the stocktake, when the money is already gone.
Mechanic pay in a notebook
The percentage of labour is worked out by hand at month end, and every calculation is an argument waiting to happen.
Customers do not come back for servicing
Nobody reminds them about an oil change six months later, and they go where somebody did.
The owner cannot see the numbers
Revenue by mechanic and by service, average ticket, workload — built in a spreadsheet once a month, if at all.

From the booking
to the next service

01
Online booking for repairs and servicing
The customer picks the service — servicing, diagnostics, tyres — and a free slot on your site. The schedule runs by mechanic, so there are no clashes, and in season you can see the real workload. Bays as a separate schedulable resource are added in the project.
02
Customer and vehicle card
The customer and their vehicle: registration, VIN, make, mileage, history of visits, labour and parts. The customer card already exists; the vehicle card we add in the project around your intake process.
03
Work order
Labour and parts in one document, approval of extra work with the customer, printing of the order and the act. Built on the existing document and stock modules.
04
Parts stock
Deliveries from suppliers, balances, write-off against an order, permissions for the store, and a watchdog that flags suspicious write-offs.
05
Mechanic payouts
Calculated from completed work under your own rules, with no manual spreadsheets at month end.
06
Customer notifications
SMS or Telegram: booking confirmation, a reminder a day before, "your car is ready", and a reminder about the next service. Booking reminders already work; the rest are configured for a workshop.
07
Till and discounts
Payment at the system's till, discounts for regulars, certificates, a loyalty scheme, daily cash-up with a log.
08
Reports for the owner
Revenue, average ticket, mechanic workload, customer sources — with no spreadsheet.

One visit —
from booking to handover

This is how an ordinary visit runs once the system is configured for a workshop.

Step 01
Booking
The customer books on the site or by phone, into a mechanic's schedule. A reminder arrives a day before.
Step 02
Vehicle intake
The adviser opens the customer and vehicle card, records the mileage and the complaint, and opens a work order.
Step 03
Labour and parts
The mechanic sees their order and parts are written off from stock against it. Extra work only after the customer approves it.
Step 04
Handover and payment
The customer is told the car is ready, pays at the till and collects the order and the act.
Step 05
Next visit
The system reminds the customer about the next service, and shows you who has not been in for a long time.

What already works,
and what we build for a workshop

The foundation — booking, customers, stock, till, payouts — runs every day in organisations with dozens of staff. The workshop specifics are completed in the project, and they are inside the quoted price and timeline.

Already working in the system
  • Online booking from the site and a schedule by mechanic
  • Customer card with visit history and duplicate control
  • Stock: deliveries, balances, write-offs, permissions, watchdog for suspicious operations
  • Till with daily cash-up, discounts, certificates, loyalty
  • Staff payouts from completed work
  • SMS and Telegram reminders, reviews after a visit
  • Documents from templates with print and PDF
  • Roles, permissions and an action log for every user
Configured in your project
  • Vehicle card: registration, VIN, make, mileage, history of work and parts
  • Work order with approval of extra work and an act
  • "Car is ready" messages and service reminders by date or mileage
  • Naming for a workshop: "customer", "mechanic", "bay", "order"
  • Tyre storage — if you offer it
  • Migration of the customer and vehicle base from old software or spreadsheets
  • Bays and lifts as a schedulable resource: booking onto a specific lift

A chatbot for a workshop:
books the job while the mechanics are in the bay

The adviser is in the bay with a customer while the phone and the messengers do not stop: "how much is a brake pad change", "any slots on Thursday". An AI administrator answers immediately, and the adviser gets a ready enquiry with the make, the mileage and the complaint.

An indicative price from your price list
Quotes the cost of standard jobs from your own price list and says honestly that the exact figure follows diagnostics.
Booking a convenient time
Offers free slots in the schedule or gives a link to online booking. The make, model, mileage and complaint go straight into the enquiry.
By voice, for the people who ring
Workshop customers mostly phone, so a voice agent can sit alongside the chat: it picks up when the adviser is busy and says immediately that it is an assistant.
Timings and discounts — a person only
When it will be ready, what discount applies and whether the car can come in today is for the adviser to decide. Anything complex or contested is handed over with a summary of the conversation.

A separate project on top of the system: a text AI agent from $900, a voice agent for calls from $3,000. Model usage and speech-recognition minutes are billed separately, by volume.

Off-the-shelf garage software
or your own system

For a small workshop with one or two bays an off-the-shelf subscription is a sensible choice, and we will say so. Your own system earns its place once there are more bays and mechanics, a parts shop, several sites, or your own rules for paying labour.

What a next-service
reminder
is worth

Example conditions
  • 1,200 customers in the database over a year
  • Servicing once a year, average ticket — $150
  • Without a reminder, every second customer does not come back
  • A reminder brings back at least 1 in 10 of those
Did not come back for servicing600 customers
Brought back by a reminder60 customers
Additional revenue per year$9,000

An illustration on indicative figures, not a client case. Give us yours and we will work it out together on the first call. The system already sends booking reminders; the next-service reminder is configured for your workshop.

A pilot for the first workshops. We are looking for two or three garages to build the vehicle card and the work order with, on a real intake process. You get special terms, we get a reference and permission to show the result. We will name the terms on the first call.

What the system
does not do

Better to hear "no" now than in week three.

It does not connect to parts catalogues such as TecDoc out of the box — that integration is built separately if you need it.
It does not print fiscal receipts: cash-register compliance is a separate integration under the rules of your country.
It does not read vehicle diagnostics and does not work with scan tools.
It does not do bookkeeping: tax accounting stays with your accountant, the system gives them the reports.
It does not order parts from suppliers by itself — without an integration, a person places the order.
It does not appear in an evening: the vehicle card and the work order are several weeks of custom work.

What people
ask most

How is this different from off-the-shelf garage software? +
A ready package gives a standard set of features for a subscription, and for a small workshop that is enough. Your own system is needed once you have several bays or sites, a parts shop, your own rules for paying mechanics, or the base has to belong to you rather than a vendor. Then we build the system around your process on a ready foundation.
Will there be a vehicle card with repair history? +
Yes, it is the heart of a workshop system: registration, VIN, mileage, every order, every job and every part. The customer card already exists; the vehicle card we add in the project around your intake process — this page divides honestly what exists from what we build.
How is mechanic pay calculated? +
Under your own rules: a percentage of labour, a rate per standard hour, or a mix. Payouts come from closed orders, so nothing has to be reconciled by hand at month end.
Can we run stock and sell parts separately? +
Yes. Stock already works: deliveries, balances, write-off against an order, permissions. Parts can be sold at the till and, if you want, through an online store running on the same balances.
Does it suit a tyre shop or a detailing studio? +
Yes: seasonal online booking, service packages and memberships, customer reminders. Tyre storage is added if you offer it.
How long does launch take? +
The core part — booking, customers, stock, till — from 45 days. The vehicle card and the work order add a few weeks. We name the exact timeline after a conversation about your intake process.
What happens to the data if we want to leave? +
You get your base of customers, vehicles and orders in full. If you want, the system can be moved to your own server under licence.
