CRM for a
dental practice

Booking with a dentist, a patient record holding treatment history and images, materials written off against every procedure, prepaid treatment packages and a reminder before each visit. The foundation is a medical system that works in clinics every day; the dental specifics — the tooth chart and the treatment plan — we add in the project.

When the chairs
sit empty

In dentistry treatment stretches over months, and every lost visit is unfinished work and revenue that never arrives.

Chairs sit empty
Cancellations and no-shows become visible when the dentist is already waiting. Long procedures and the gaps between them are planned by eye.
Treatment runs for months
Stages, payments and what was agreed with the patient live in the dentist's head and in a paper chart.
Materials counted by eye
How much filling material, anaesthetic and consumables a procedure used is unknown, and the cost is estimated.
Images scattered everywhere
X-rays in email, consent forms on paper, photographs in the dentist's phone.
Prepayments in a notebook
Who paid how much in advance and what has already been done is checked by hand.
The patient disappears between stages
Nobody booked the next visit on the spot — and the patient vanishes with the treatment unfinished.

From the booking
to completed treatment

01
Booking with a dentist
Online booking from your site, a schedule per dentist, different procedure durations, booking approval. Holidays block the time automatically.
02
Patient record
Visits, reports from templates, ICD-10 diagnoses, files and images, documents with a verification code, payment history.
03
Materials per procedure
Materials used are written off from stock against the patient visit — you can see the real consumption, the indicative cost and the balance at every storage location, whether a surgery or the store.
04
Treatment packages
Prepaid packages of services with a counter and an expiry date: the patient pays in advance and every visit reduces the balance.
05
Reminders and reviews
SMS and Telegram 24 and 2 hours before the visit, and a request to rate the dentist afterwards.
06
Patient portal
Bookings, rescheduling and cancellation under the practice's rules, documents, a digital discount card — sign-in with a code and no passwords.
07
Till and reporting
Payments, discounts, certificates, cash-up with a log, and a "services delivered" report for accounting.
08
Dentist payouts
Based on work completed, under your own rules — a percentage, a rate, or a mix.

Treatment —
visit by visit

This is how treatment runs once the system is configured for a dental practice.

Step 01
Booking
The patient books online or through reception, with the right dentist and the right duration.
Step 02
The appointment
The dentist sees the history and the images, completes the report from a template, and the materials used are written off against the visit.
Step 03
Payment
Payment at the till or from a prepaid package; documents with a verification code, on paper and in the portal.
Step 04
The next stage
The next visit is booked on the spot, and the system reminds the patient a day and two hours before.
Step 05
Review
After the visit, a request to rate the dentist. An unhappy patient is visible the same day.

What already works,
and what we build for dentistry

Booking, patient records, stock, packages and the till run every day in healthcare settings. The dental specifics are completed in the project, and they are inside the quoted price and timeline.

Off-the-shelf dental software
or your own system

A practice with one or two chairs will be well served by an off-the-shelf dental package — and we will say so. Your own system earns its place in a clinic with several dentists and chairs, multiple locations, or its own rules for payment and treatment.

OptionWhat is includedPrice
CRM for a dental practiceBooking, dentist schedules, patient record, materials stock, packages, reminders, portal and till on ready modules configured for dentistry. Up to 10 users, data import, team training. Timeline 45–90 days.from $1,900
Extended systemEverything above plus the tooth chart, the treatment plan with patient approval, integrations and several locations, up to 50 users. Timeline 60–120 days.from $2,700

Hosting, SSL and backups are included in the package, with a 6-month warranty under the contract. There is also a hosted option with no large one-off payment — from $120 a month. A dental website and SEO are on the websites and systems for clinics page.

A pilot for the first dental practices. We are looking for two or three clinics to build the tooth chart and the treatment plan with, on real patients. You get special terms, we get a reference and permission to show the result. We will name the terms on the first call.

What the system
does not do

Better to hear "no" now than in week three.

It does not display DICOM X-rays in a viewer out of the box — the files are stored in the patient record, and a viewer is connected separately.
It is not a certified system for national health-insurance reporting — where you need one, it runs alongside.
It does not take online payment for a booking out of the box — we connect a provider separately if you need one.
It does not print fiscal receipts: cash-register compliance is a separate integration under the rules of your country.
It does not make diagnoses or suggest treatment.
It does not appear in an evening: the tooth chart and the treatment plan are several weeks of custom work.

What people
ask most

Will there be a tooth chart and a treatment plan? +
Yes, in the dental project: a tooth chart in the patient record and a treatment plan with stages, cost and approval. They are not in the system today — we have divided this page honestly between what already works and what we build.
How are materials written off? +
Materials used are written off from stock against a specific visit, so you can see how much went on which patient and the indicative cost. Norms per procedure with automatic write-off after the visit are configured in the project.
Can we take prepayment for treatment? +
Yes, through service packages: the patient pays in advance and every visit reduces the package balance. Expiry and refunds are handled too.
Where are the images stored? +
In the patient record, as files. A DICOM X-ray viewer is connected separately if you need one.
How is dentist pay calculated? +
Under your own rules, based on work completed: a percentage, a rate, or a mix. The payout is visible immediately.
What happens to the data if we want to leave? +
You get your patient base in full. The system can be moved to your own server under licence.
