CRM for a school
and training centre

A system where a class package has a lesson counter and an expiry date, students and parents get reminders, and the owner can see who has not renewed. Booking, packages, reminders, till and a family portal already work; group classes and the attendance register we build in the project — and we say honestly which is which.

When a school
outgrows the spreadsheet

While there are a few dozen students, packages live in a spreadsheet and in the administrator's head. After that every counting error is an awkward conversation with a parent or a student lost.

Packages in a notebook
Who paid for how many lessons and how many are left lives in the administrator's spreadsheet. A counting error becomes an argument with parents.
Students disappear quietly
The package ran out, nobody offered a renewal — and the student simply did not come back next month.
The timetable lives in chats
Reschedules, substitutions and free places are all in messages. Someone missed one and turned up to a cancelled class.
Trial requests get lost
Enquiries from the website and social media sit in different places, calls back are late — and some of those students go to a competitor.
Teacher pay calculated by hand
How many classes each teacher gave and what they are owed is worked out at month end by reconciling registers.
The owner cannot see the numbers
How many students renewed, which subjects are full, what actually makes money — invisible without building a spreadsheet.

From the trial lesson
to the renewal

01
Trial-lesson booking
The student or parent picks the subject, the teacher and a free slot on your site — the class goes straight into the timetable and into the student card. Website enquiries carry a status, so none are lost.
02
Student card
Contacts, class and payment history, packages, files and notes. Duplicates are caught by phone number, or by name and date of birth.
03
Class packages
A package of lessons paid in advance, with a counter and an expiry date. The administrator deducts a lesson when taking payment, the student sees the balance in the portal, and expired packages close themselves.
04
Family portal
Sign-in with a code by SMS or Telegram. Parents switch between their children's profiles: bookings, rescheduling under the school's rules, and the package balance.
05
Teacher timetables
A schedule per teacher with their own booking mode. Holidays block the time automatically, and a teacher sees their own classes in their phone calendar.
06
Reminders
SMS or Telegram a day and two hours before the class, with editable text. A reminder when a package is running out is added in the project.
07
Till and payouts
Payment for packages and single lessons, discounts, promo codes, gift certificates. Teacher payouts as a percentage or a fixed amount per paid lesson.
08
Groups and attendance
Group classes with several students, an attendance register and deduction from the packages of the whole group. Built in the project — today one class in the timetable means one student.

The student journey —
from trial to renewal

This is how teaching runs once the system is configured for the school.

Step 01
The enquiry
The student or parent books a trial lesson on the site — the class goes into the timetable and the student into the database with no duplicate.
Step 02
The trial lesson
Reminders arrive a day and two hours before. After the trial the administrator sets up a package.
Step 03
Teaching
Lessons are deducted from the package; the balance is visible to the administrator and to the student in the portal.
Step 04
Renewal
The balance and expiry are visible in the student card, so the renewal is offered in time rather than after the student has vanished.
Step 05
Reports
The owner sees payments, package sales and teacher payouts without building a spreadsheet.

What already works,
and what we build for a school

Booking, packages, reminders, till, payouts and the family portal already run every day in a private clinic. Group classes and attendance we build in the project, and they are inside the quoted price and timeline.

Already working in the system
  • Online trial booking and website enquiries with statuses
  • Student card with class and payment history, duplicate control
  • Packages: prepayment, lesson counter, expiry date, balance in the portal
  • Family portal: parents switch between their children's profiles
  • Teacher timetables, holidays block time, calendar on the phone
  • SMS and Telegram reminders, reviews after a class
  • Till, discounts, promo codes, gift certificates
  • Teacher payouts, roles, permissions and an action log
Configured in your project
  • Group classes with capacity and deduction from the whole group's packages
  • Attendance register and a report on missed classes
  • Automatic lesson deduction and a reminder when a package runs out
  • Rooms as a separate schedulable resource
  • Naming for a school: "student", "teacher", "class", "group"
  • Migration of the student base and packages from spreadsheets or old software

Off-the-shelf school software
or your own system

A tutor or a small studio will be well served by a subscription service, and we will say so. Your own system earns its place once there are hundreds of students, many subjects and teachers, your own package and payout rules, or the database has to belong to the school.

In short: a tutor or a studio with a few dozen students — take the off-the-shelf service. Hundreds of students, several subjects and teachers, your own package rules — let us talk.

  • 160 students on packages
  • A package costs $120 a month
  • One student in 20 does not renew in time

Revenue missed per month$960
Per year$11,520

An illustration on indicative figures, not a client case. Give us yours and we will work it out together on the first call. The system already tracks the package expiry date; renewal reminders are configured in the project.

A pilot for the first schools. We are looking for two or three training centres or schools to build group classes and the attendance register with, on a real timetable. You get special terms, we get a reference and permission to show the result. We will name the terms on the first call.

What the system
does not do

Better to hear "no" now than in week three.

It does not run the lessons: video calls and course content live in separate services (Zoom, Google Meet or a course platform). The system runs the students, the timetable and the payments around them.
It does not issue course certificates or run tests out of the box — the platform has this for educational events, and for a school we connect it in the project.
It does not take online payment out of the box — a payment provider is connected separately.
It does not print fiscal receipts: cash-register compliance is a separate integration under the rules of your country.
It does not do bookkeeping: tax accounting stays with your accountant, the system gives them the reports.
It does not appear in an evening: groups and attendance are several weeks of custom work.

What people
ask most

How is this different from off-the-shelf school software? +
A ready service gives a standard set of features for a subscription, and for a tutor or a small studio that is enough. Your own system is needed once there are hundreds of students, many subjects and teachers, your own package or payout rules, or the database has to belong to the school. Then we build the system around your process on a ready foundation.
Can we run group classes? +
Yes, but honestly: today one class in the timetable means one student, so groups and the attendance register are built in the project. Individual lessons, packages, reminders and the portal work already.
How do the class packages work? +
A package is a bundle of prepaid lessons with a counter and an expiry date. The administrator deducts a lesson when taking payment for the visit, the student sees the balance in the portal, and expired packages close themselves. Automatic deduction and renewal reminders are added in the project.
Does it suit an online school? +
Yes, if what you need is students, timetable, packages, payments and reminders. The lessons themselves happen in Zoom, Google Meet or a course platform — the system runs everything around them.
How do parents see their child's classes? +
In the family portal: sign-in with a code by SMS or Telegram, switching between children's profiles, bookings, rescheduling under the school's rules and the package balance.
How long does launch take? +
The core part — booking, student cards, packages, reminders, till — from 45 days. Groups and the attendance register add a few weeks. We name the exact timeline after a conversation about your timetable.
What happens to the data if we want to leave? +
You get your base of students, packages and payments in full. If you want, the system can be moved to your own server under licence.
