CRM for a real
estate agency

A system where every website enquiry carries a status and a source, every client has a history of calls and meetings, and contracts assemble themselves from the client's data. Clients, enquiries, reminders and documents already work; the property database and the deal pipeline we build in the project for your process — and we say honestly which is which.

When an agency
outgrows the agent's notebook

While there are two agents, the database lives in their phones. As the team grows, every agent who leaves takes clients with them, and website enquiries wait hours for a reply.

Clients in agents' phones
Contacts, requirements and viewing history sit in each agent's notebook. The agent leaves and the clients leave with them.
Enquiries wait for hours
Enquiries from the site, portals and social media arrive in different places, and by the time someone answers the client is already calling a competitor.
Properties in spreadsheets
The price changed, the flat sold, the photos were updated — and the spreadsheet and the website still hold the old version.
Viewings with no system
Who showed what to whom, what the feedback was and what the next step is — recorded nowhere.
Contracts typed by hand
Contracts and acts are retyped every time, copying client details out of various documents.
Management cannot see the pipeline
How many enquiries, viewings and deals, which agents bring in revenue, where clients come from — invisible without building a spreadsheet.

From the enquiry
to the deal

01
Client card
Contacts, requirements, documents, calls and the whole history of work with the client. The database belongs to the agency, not to the agent; duplicates are caught by phone number.
02
Website enquiries
Every enquiry carries a status — new, handled, meeting booked, rejected — and a source with campaign tags. The report shows which channels bring clients.
03
Appointment booking
The client books a consultation or a viewing on your site, the agent sees their own schedule, the new booking reaches the responsible people immediately, and the client gets a reminder. Linking a viewing to a specific property is added in the project.
04
Documents from templates
Contract, act, application — the client's name, address, tax ID and identity details fill themselves in, with print and PDF.
05
Reminders and calendar
Reminders to staff by Telegram or email and calendar events with participants — so the next step with a client is not forgotten.
06
Property database
Properties with photos, price, floor area, district and status, searchable by the client's criteria. Built in the project on the platform's catalogue, which already has photos, categories and filters.
07
Deal pipeline
Stages from enquiry to contract, amount and commission, responsible agent, reason for loss. Built in the project around your own stages.
08
Roles and control
Roles and permissions decide who sees and can change what, and the action log shows who changed what. Restricting an agent to their own clients is configured in the project.

One deal —
from enquiry to contract

This is how a deal runs once the system is configured for the agency.

Step 01
The enquiry
A website enquiry lands in the system with a status and a source, and the client's calls are visible in their card.
Step 02
The consultation
The client books a meeting, the agent gets a notification, the client gets a reminder, and the requirements are recorded in the card.
Step 03
Shortlist and viewings
The agent selects properties from the database against the client's criteria and puts the viewings in the calendar.
Step 04
The contract
Contract and act assemble from a template using the client's data, and the deal moves to the next stage.
Step 05
Reports
Management sees enquiries by source, viewings and deals by agent, with no spreadsheet.

What already works,
and what we build for an agency

Clients, website enquiries, booking, reminders and documents already work on the platform. The property database and the deal pipeline — the heart of a real estate system — are built in the project, and they are inside the quoted price and timeline.

Already working in the system
  • Client card with history, files and duplicate control
  • Website enquiries with statuses, campaign tags and a report by source
  • Online appointment booking, SMS and Telegram reminders
  • Documents with client data from templates, print and PDF
  • Reminders to staff and a calendar of events
  • Telephony: calls visible in the client card
  • Till and tracking of client payments
  • Roles, permissions and an action log for every user
Configured in your project
  • Property database: photos, price, floor area, district, status, search by criteria
  • Deal pipeline: stages, amount, commission, responsible agent
  • Viewings in the calendar linked to a property, with client feedback
  • Agent access limited to their own clients and properties
  • Naming for an agency: "client", "agent", "property", "deal"
  • Migration of the client and property base from spreadsheets or old software

Off-the-shelf realtor CRM
or your own system

A sole agent or an agency with a few people will be well served by a subscription service, and we will say so. Your own system earns its place once there are many agents, your own deal stages and commission rules, a property database of your own on the website, or the data has to belong to the agency.

In short: a sole agent or a few people — take the off-the-shelf service. A team, your own deal stages and commissions, your own property database — let us talk.

What unanswered
enquiries
cost you

Example conditions
  • 120 enquiries a month from the site and portals
  • One in six gets no answer the same day
  • One enquiry in 40 becomes a deal, commission — $2,000
Unanswered enquiries per month20
Deals lost per year6
Commission missed per year$12,000

An illustration on indicative figures, not a client case. Give us yours and we will work it out together on the first call. The deal pipeline and the property database are built in the project — that is the extended package.

the scope

OptionWhat is includedPrice
CRM for an agencyClients, website enquiries with statuses and sources, appointment booking, reminders, documents from templates and telephony on ready modules. Up to 10 users, data import, team training. Timeline 45–90 days.from $1,900
Extended systemEverything above plus the property database with search by criteria, the deal pipeline with commissions, viewings linked to a property, integrations and up to 50 users. Timeline 60–150 days.from $3,100

Honestly: most agencies need the extended package — without the property database and the deal pipeline a real estate CRM is incomplete. Hosting, SSL and backups are included, with a 6-month warranty under the contract. There is also a hosted option with no large one-off payment — from $120 a month. The full package comparison is on the CRM development page.

A pilot for the first agencies. We are looking for one or two estate agencies to build the property database and the deal pipeline with, on real work. You get special terms, we get a reference and permission to show the result. We will name the terms on the first call.

What the system
does not do

Better to hear "no" now than in week three.

It does not publish listings to property portals by itself — a feed is a separate integration if you need one.
It does not value properties or pull data from land and property registers.
It does not take online payment out of the box — a payment provider is connected separately.
It does not apply a qualified electronic signature — that stays a separate integration.
It does not do bookkeeping: tax accounting stays with your accountant, the system gives them the reports.
It does not appear in an evening: the property database and the deal pipeline are several weeks of custom work.

What people
ask most

How is this different from off-the-shelf realtor CRMs? +
A ready service gives a standard set of features for a subscription, and for a sole agent that is enough. Your own system is needed once there are many agents, your own deal stages and commission rules, a property database on your own website, or the data has to belong to the agency. Then we build the system around your process on a ready foundation.
Is there a property database in the system? +
Honestly: there is no separate property database today. We build it in the project on the platform's catalogue, which already has photos, categories and filters — adding floor area, floor, district, status and search by the client's criteria.
How does the deal pipeline work? +
You define the stages and fields yourself: from enquiry and viewing through to contract and commission payment. The pipeline is built in the project; the clients, the enquiries with statuses and sources and the documents it stands on already work.
Will the database leave with the agent? +
The base belongs to the agency: access is governed by roles and the action log shows who changed what. Restricting an agent to their own clients is configured in the project.
Where do the enquiries come from? +
From the form on your own website — with a status and a source, including advertising campaign tags. The report shows which channels bring clients. Enquiries from listing portals are connected as a separate integration.
How long does launch take? +
The core part — clients, enquiries, booking, documents — from 45 days. The property database and the deal pipeline add a few weeks; for most agencies a realistic timeline is 90–150 days.
What happens to the data if we want to leave? +
You get your base of clients, properties and deals in full. If you want, the system can be moved to your own server under licence.
