LIMS for a medical
laboratory

The patient walks in without an appointment: the receptionist registers the tests, the sample is taken straight away and payment follows what was actually done. Results are entered into the system and released to the patient portal with a one-time code — no phone calls and no queue for paper forms. The laboratory module runs every day in a medical setting; connecting it to analysers is a separate project built around your equipment.

When the laboratory
drowns in phone calls

The tests themselves are fast. Everything around them is slow: registration, payment, releasing results, and answering "is it ready yet".

A queue at reception
Every patient is registered by hand — details, tests, price, payment — and the queue grows exactly during the morning collection hours.
Results read out by phone
Patients ring to find out whether it is ready, and lab staff answer the phone instead of working.
Paper forms
Printing, envelopes, "come and collect it" — and some of those forms are never collected.
Files sent by email
Results travel by email and messengers, where they are easy to mix up or send to the wrong person.
Consumables counted by eye
Tubes, reagents, systems — how much was used only becomes visible at the stocktake.
No picture by day
How many tests, what revenue, which services are most common — the summary is built by hand.

From the sample
to the result in the portal

01
Walk-in intake
The receptionist registers the patient and the tests in a minute. The sample is taken immediately and payment follows what was done, with no extra steps.
02
Patient card
Every visit and test in one card, with duplicate control by phone number, or by name and date of birth.
03
Results in the system
The result is attached as a file to the patient card — no email, no messengers — with a history of who added it and when.
04
Release to the portal
The patient opens the result in the portal with a one-time code by SMS or Telegram — no passwords and no calls to the laboratory.
05
Large studies
MRI, CT and other large files reach the patient portal through separate storage, with a limited access period.
06
Till and price list
Test price list, discounts, panels, cash-up with a log and a "services delivered" report for accounting.
07
Consumables stock
Tubes, reagents and systems in stock; written off against a patient visit with an indicative cost, plus a watchdog for suspicious operations.
08
Laboratory staff
Separate roles and permissions for lab technicians, reception and management, with an action log for every user.

A test —
from registration to release

This is how an ordinary laboratory visit runs where the system is already working.

Step 01
Registration
The patient arrives without an appointment and the receptionist registers the tests in their card.
Step 02
Collection
The sample is taken immediately, before payment — the patient does not stand in a second queue.
Step 03
Payment
Payment follows what was actually done, at the system's till.
Step 04
Result
The technician enters the result into the system; who added it and when is visible.
Step 05
Release
The patient opens the result in the portal with a one-time code — no calls, no paper.

What already works,
and what we configure

The laboratory module runs every day in a medical setting: walk-in intake, results, release to the portal. For your laboratory we configure the price list, the forms and the integrations.

Already working in the system
  • Walk-in intake: sample before payment, payment on what was done
  • Patient card with test history and duplicate control
  • Results as files in the system, with a log of who added them and when
  • Release of results to the patient portal with a one-time code
  • Large studies (MRI, CT) through separate storage
  • Till, price list, panels, a "services delivered" report
  • Consumables stock with write-off against a visit
  • Separate roles for technicians, reception and management
Configured in your project
  • Analyser integration (ASTM/HL7) — a separate project built around your equipment
  • Your test and panel price list — from a spreadsheet
  • Result forms in your laboratory's style
  • Online booking for collection or home visits — where needed
  • Exchange with partner laboratories — where an API exists
  • Migration of the patient base

An off-the-shelf LIMS
or your own system

A large laboratory with dozens of analysers may well be better served by an established LIMS — and we will say so. Your own system fits a laboratory inside a clinic, or a small network of collection points, where intake, the till, the patient portal and the link to doctors are what matter.

PaymentA licence or a monthly subscriptionA one-off build, or hosted by us from $120 a month
AnalysersOften connected out of the boxConnected as a separate project, built around your instruments

In short: high throughput and many analysers — look at an established LIMS. A laboratory inside a clinic, or a few collection points with the focus on the patient — let us talk.

What manual entry
costs you

Example conditions
  • 250 results a day are copied from the analyser by hand
  • About 36 seconds per result
  • One transcription error in 500 entries
  • 22 working days a month
Time spent entering, per day2.5 hours
Results per month5,500
Transcription errors per month11

An illustration on indicative figures, not a client case. Give us yours and we will work it out together on the first call. Connecting the analysers (ASTM/HL7) is a separate project, and it is exactly what removes the manual entry.

Hosting, SSL and backups are included in the package, with a 6-month warranty under the contract. There is also a hosted option with no large one-off payment — from $120 a month.

What the system
does not do

Better to hear "no" now than in week three.

It does not connect to analysers out of the box: ASTM or HL7 integration is a separate project for specific instruments.
It does not interpret results or make diagnoses.
It is not a certified system for national health-insurance reporting and does not handle electronic referrals.
It does not print fiscal receipts: cash-register compliance is a separate integration under the rules of your country.
It does not show DICOM images in a viewer out of the box — files are released to the patient, and a viewer is connected separately.
It does not launch in an evening: configuring the price list and the forms takes several weeks.

What people
ask most

Is there analyser integration? +
Not out of the box. Connecting instruments over ASTM or HL7 is a separate project built around your equipment — once we have seen which analysers you actually have.
How does the patient get their results? +
In the patient portal: sign-in with a one-time code by SMS or Telegram, no passwords. The laboratory no longer has to answer "is it ready yet" calls.
Can we take patients without an appointment? +
Yes, that is the main scenario: the sample is taken immediately and payment follows what was done, so the patient does not stand in two queues.
Does it suit several collection points? +
Yes: the points work in one system with separate tills and permissions, and management sees the overall picture.
How do we migrate the test price list? +
From a spreadsheet: services, prices and panels are loaded into the system and reconciled with you before launch.
What happens to the data if we want to leave? +
You get your base of patients and results in full. The system can be moved to your own server under licence.
