CRM for a clinic
and medical centre

This is not a prototype built for your clinic but a system that works every day in healthcare settings — in a private clinic with its own laboratory, and in the document workflow of a state hospital. Booking and doctor schedules, patient records with history, laboratory results, till, stock, a patient portal and telephony. For your clinic we configure the specialities, the price list, the forms and the integrations.

When reception
becomes the bottleneck

In a clinic the cost of a mistake is higher than in any other service: a lost booking is a patient who went to another doctor, and a lost result is a risk to someone's health.

The phone is engaged
One line, the receptionist is with a patient, and booking in the evening is impossible. Everyone who could not get through books somewhere else.
The schedule lives in several places
Doctors, specialities, holidays and cover in different spreadsheets. Clashes and gaps become visible when the patient is already in the corridor.
Patient records on paper
Visit history, reports, test results and files scattered across folders, email and messengers.
Results given over the phone
Lab staff read out results, patients wait and call back, and electronic delivery is done by hand.
Till and stock kept apart
Services, payments and consumables are unconnected: how much a room earned and how much it spent is invisible.
Reception drowns in small things
Reschedules, cancellations, "remind me what time" — half the day goes on things the patient could do themselves.

From the booking
to the results

01
Booking and doctor schedules
Online booking from your site, a schedule per doctor with their own booking mode, and booking approval. Holidays and sick leave block the time automatically.
02
Patient record
Visits, reports from speciality templates, ICD-10 diagnoses, documents with a verification code, files and payment history. Duplicates are caught by phone number, or by name and date of birth.
03
Laboratory
Walk-in intake, results in the system and delivery to the patient. Integration with analysers is built for your equipment.
04
Patient portal
Sign-in with a one-time code by SMS or Telegram: bookings, rescheduling and cancellation under the clinic's rules, documents, results and a digital discount card.
05
Reminders and reviews
SMS and Telegram 24 and 2 hours before the visit, an invitation to rate the appointment, and a report by rating — an unhappy patient is visible the same day.
06
Till and reporting
Payments, discounts, service packages, certificates; cash-up with a log, and a "services delivered" report that exports to a spreadsheet for the accountant.
07
Stock and materials
Deliveries, balances by storage location, materials written off against a patient visit with an indicative cost, permissions per warehouse and a watchdog for suspicious operations.
08
Telephony and staff
Integration with your telephony provider, roles and permissions, staff payouts, and separate working screens for management, reception and accounting.

A patient visit —
from booking to review

This is how an ordinary visit runs in a clinic where the system is already working.

Step 01
Booking
The patient books on the website, in the portal or through reception — with a specific doctor and room.
Step 02
Reminder
A day before and two hours before, a reminder arrives with the time, address and price. If they cannot make it, they reschedule in the portal and the slot returns to the schedule.
Step 03
The appointment
The doctor sees the patient history and completes the report from their speciality template; materials used are written off against the visit.
Step 04
Payment and documents
Reception takes payment at the till and the patient receives documents with a verification code — on paper and in the portal.
Step 05
Results and review
Results appear in the system and are released to the patient, and after the visit comes a request to rate the appointment.

What already works,
and what we configure

For healthcare almost everything exists already — the system grew out of clinics. For your clinic we configure the catalogues, the forms, the rules and the integrations.

Already working in the system
  • Online booking, doctor schedules and booking modes
  • Patient record, reports from speciality templates, ICD-10, documents with a verification code
  • Laboratory: walk-in intake, results, release to the patient
  • Patient portal with code sign-in and a digital discount card
  • SMS and Telegram reminders, reviews after the visit
  • Till, service packages, certificates, a "services delivered" report
  • Stock, materials written off against a visit, stock watchdog
  • Roles, permissions, an action log, working screens for management and reception
Configured in your project
  • Your specialities, services, price list and doctors — from a spreadsheet or your old software
  • Your clinic letterheads and your doctors' report templates
  • A booking widget on your own site, in your style
  • Integration with laboratory analysers — where needed
  • Migration of the patient base and future bookings
  • Integration with your telephony and other systems
  • Multiple locations: schedule, till and stock per address — for a network

A chatbot for the clinic —
a first line that gives no medical advice

Most messages to reception are about the same things: the price of an appointment, how to prepare for a test, a doctor's hours, how to get there. An AI administrator answers these around the clock from your own documents and frees reception for the patients in the waiting room.

Practical questions
Prices, preparation for tests, doctors' hours, address and parking — from your knowledge base, in the words patients actually use.
Booking with a doctor
Offers free slots in the doctor's schedule or gives a link to online booking. The booking lands in the same schedule as one made at reception.
No diagnoses, no advice
It does not assess symptoms or suggest treatment: to a medical question it answers that this is for the doctor to decide, and offers an appointment. It does not ask about symptoms in chat.
Anything complex goes to a person
Complaints, questions about results and anything unusual are handed to a receptionist along with a summary of the conversation.

Built as a separate project on our AI support agent — from $900, 14–25 days. Clinics where people mostly phone are better served by a voice agent — from $3,000: it answers on the first ring and says straight away that it is an assistant. Model usage is billed separately and depends on the volume of conversations.

Off-the-shelf medical software
or your own system

A single-doctor practice will be well served by an off-the-shelf subscription. Your own system earns its place in a clinic with several specialities, locations or a laboratory, where the processes do not fit somebody else's template.

In short: one or two doctors with simple processes — take the off-the-shelf package. Several specialities, locations, a laboratory, your own forms — let us talk.

How long reception
spends on the phone

Example conditions
  • 120 calls a day
  • About 3 minutes per call
  • Half of them are bookings, reschedules or "when is my appointment"
  • 22 working days a month
On the phone per day6 hours
Of that, booking and rescheduling3 hours
Per month on booking alone66 hours

An illustration on indicative figures, not a client case. Give us yours and we will work it out together on the first call. Online booking and a patient portal with rescheduling under your rules take away part of those calls — how much depends on your patients.

What the system
does not do

Better to hear "no" now than in week three.

It is not a certified EHR for national health-insurance reporting. Where your country requires a certified system, ours runs alongside it and covers booking, patient records, laboratory, till, stock and the portal.
It does not take online payment for a booking out of the box — we connect a provider separately if you need one.
It does not print fiscal receipts: cash-register compliance is a separate integration under the rules of your country.
It does not make diagnoses or suggest treatment — it is a tool for doctors and reception.
It does not migrate data without reconciliation: we move the patient base and check it together with you.
It does not launch in an evening: configuring it for your clinic takes several weeks.

What people
ask most

Is this a finished product or development from scratch? +
A finished foundation: the system works every day in healthcare settings, including one with a laboratory. For your clinic we configure the specialities, the price list, the forms, the booking rules and the integrations, and build whatever is missing.
Does it work with national health-insurance systems? +
It is not a certified EHR. If you report into a national scheme, that part stays in your certified system, and ours covers booking, the patient record, the laboratory, the till, stock and the portal.
Can the laboratory be connected? +
Yes, the laboratory module already works: walk-in intake, results in the system and release to the patient. Integration with analysers is built for your equipment.
How do patients receive documents and results? +
In the patient portal, signing in with a one-time code by SMS or Telegram, with no passwords. Documents carry a verification code, so their authenticity can be confirmed by link.
Will it suit a network with several locations? +
Yes, but honestly: there is no separate "branch" entity in the system yet. For a network we add it in the project — schedule, till and stock per address, with an overall picture for management. That is part of the extended package.
Can we start with booking only? +
Yes. Modules switch on individually: today booking and the patient record, tomorrow the laboratory, stock or the portal. Anything new is off by default and does not disturb what already works.
What happens to patient data if we want to leave? +
You get your database in full. The system can be moved to your own server under licence.
